What Data We Collect

When you use Billy via WhatsApp, we collect and process the following:

• Your WhatsApp phone number — used as your unique account identifier
• Documents you send to Billy — photos, PDFs, and screenshots of your personal documents (passports, visas, contracts, bills, warranties, etc.)
• Extracted document data — information Billy reads from your documents, such as names, dates, reference numbers, and expiry dates
• Messages you send — your natural language queries and commands within the WhatsApp conversation
• Usage data — timestamps of interactions, features used, and documents accessed

We do not collect data from your phone beyond what you explicitly send to Billy in the WhatsApp conversation.

How We Use Your Data

We use your data exclusively to provide and improve the Billy service:

• Document storage and retrieval — securely storing your documents and returning them when you ask
• AI-powered extraction — reading key information from your documents so you can query them by natural language
• Expiry reminders — sending you proactive WhatsApp reminders before your documents expire
• Warranty tracking — identifying coverage terms, exclusions, and expiry dates from warranty documents
• Service improvement — understanding how the service is used to make it better

How We Store and Protect Your Data

Your documents and extracted data are stored securely using industry-standard infrastructure:

• All data is stored on Supabase (hosted on AWS), with encryption at rest and in transit
• Document files are stored in secure cloud storage with access restricted to your authenticated account
• All connections use HTTPS/TLS encryption
• Access to your documents requires your WhatsApp number verification

AI Processing

Billy uses artificial intelligence (including services from Anthropic and OpenAI) to read and extract information from your documents. When your documents are processed by these AI services:

• Document content is sent securely via encrypted API calls
• These services process the data to extract text and structured information
• Per their respective data processing agreements, your content is not used to train their models
• No document content is stored by these third-party AI services beyond the processing request

WhatsApp and Meta

Billy operates on the WhatsApp Business Platform provided by Meta Platforms, Inc. Your interactions with Billy are subject to WhatsApp's Privacy Policy. Meta processes message delivery but does not have access to the content of your documents as stored by Billy.

Payment Processing

If you subscribe to a paid Billy plan, payments are processed by Stripe, Inc. We do not store your payment card details. Stripe's handling of your payment information is subject to Stripe's Privacy Policy.

Data Retention

We retain your documents and account data for as long as your account is active. If you stop using Billy:

• Your data remains stored and accessible should you return
• You can request deletion of all your data at any time by messaging Billy with delete my account or by contacting us at hello@mail.easybilly.ai
• Upon receiving a deletion request, we will permanently remove all your documents and personal data within 30 days

Your Rights

Depending on your location, you have rights regarding your personal data. Under UK GDPR and UAE Federal Decree-Law No. 45 of 2021 on Personal Data Protection, you have the right to:

• Access — request a copy of all data we hold about you
• Rectification — ask us to correct inaccurate data
• Erasure — ask us to delete all your data
• Portability — receive your data in a machine-readable format
• Withdraw consent — stop using Billy at any time; your prior data will be deleted upon request

Children's Privacy

Billy is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us immediately.

We may update this Privacy Policy from time to time. If we make significant changes, we will notify you via WhatsApp message. The "Last updated" date at the top of this page reflects when the policy was last revised.
